Bookings Policy

When you make a booking you guarantee that you have the authority to accept and do accept the terms of these booking conditions. Further, the person completing the booking form warrants that they have full authority to do so on behalf of all persons whose names appear on the booking form, and confirms that all such persons are fully aware of and accept these conditions.

A confirmed reservation is made once a booking form, together with full deposit has been received from you and confirmed in writing by us. A contract will exist as soon as we issue such confirmation. This contract is made on the terms of these booking conditions, which are governed by English Law and both agree to submit to the jurisdiction of the English Courts at all times.

Deposits & Balance Payments

Payment can be made by bank transfer, cash or cheque (made payable to ‘The Bird ID Company’). We regret that we are unable to take card payments.

When you make your booking, you must pay the required deposit as specified by us, unless agreed otherwise, to confirm the reservation of a tour. For day tours, our standard deposit is £15 per person per day. For longer tours involving accommodation, we will confirm the amount of the deposit in writing to you.

The balance payment for your tour must be paid at a specified date and no reminder will be sent. If the balance is not paid in time, we reserve the right to cancel your tour arrangements. For day tours, the balance payment is payable either in cash on the day or by bank transfer or cheque (made payable to ‘The Bird ID Company’) beforehand. For longer tours and those involving accommodation, the balance payment is due at least 14 days before the start of the tour.

Cancellations & Refunds

In case of cancellation by the client, all deposits are non-refundable once the booking has been confirmed. At our sole discretion, bookings may be transferrable to another date if such cancellation is at least 14 days prior to the start of a tour. In such cases, an administration fee may be payable. In case of cancellation less than 14 days before the start of a tour, full payment will have to be made. If cancellation is the fault of The Bird ID Company a full refund will be given.

Please note that bad weather will not necessarily result in the cancellation of a tour. The tour will normally go ahead unless conditions are particularly bad or dangerous, in which case refunds are payable at our sole discretion. We reserve the right to adjust itineraries to cope with the prevailing weather conditions on the day.

Tour Policy

Groups will not normally exceed eight clients plus the leader, unless by prior arrangement. The group can be made up from a single booking or can be ‘infilled’ on an individual basis from multiple bookings at our sole discretion, but only where client requirements are judged to be fully compatible. If client requirements are not compatible and cannot be met through one tour, places will be allocated on a ‘first come first served’ basis and later-booking clients will be offered an alternative date(s). Our aim is always to tailor the tour as closely as possible to your requirements but a small amount of ‘infilling’ where this does not compromise the agreed tour content ensures that we can offer a customised service but at a highly competitive price. The final decision on all booking matters rests with The Bird ID Company.

Participation

The Bird ID Company reserves the right to decline any booking at its discretion without stating a reason and also reserves the right to terminate without refund the participation of any client unable or unwilling to conduct themselves in a manner compatible with the satisfactory operation of the tour and the enjoyment of any other members of the group.

Disclaimer

The Bird ID Company cannot be held responsible for any loss, damage to or theft of personal belongings or for any illness, injury or accident which may occur during a tour unless proven to be caused by negligence on the part of The Bird ID Company. Clients are bound to take all normal, sensible precautions and exercise an appropriate degree of care at all times. Clients should take out suitable holiday/household insurance for personal valuables. The Bird ID Company holds full public liability insurance.
